Troubleshooting: Reserved Areas Not Appearing When Creating an Event
When creating or confirming an event, you may find that the Reserved Areas dropdown shows no options and the system won't let you proceed. This is almost always because the areas are already reserved by another event or a date on hold for that day.
Common Causes
1. A Date on Hold or Existing Event Is Blocking the Areas
If another event — including a date on hold — exists on the same date, and it has been set to exclusive use, all areas will be reserved. This means no areas will be available for a new booking on that day.
How to fix it:
- Check your calendar for any events or dates on hold on the target date.

2. Multiple Events on the Same Day Using the Same Areas
If you are hosting multiple events on the same day and they use the same areas, the system will not allow double-booking of those areas.
How to fix it:
- Ensure each event on the same day is assigned different areas.
- If events genuinely share the same space at different times, a workaround is to create time-specific area names (e.g., "Gazebo-AM", "Gazebo-PM") under Venue > Areas and Fixtures.
3. Default Exclusive Use
If you don't specify particular areas when creating an event, the system defaults to exclusive use, which reserves all areas for that event. This will block any other event from being created on the same date.
How to fix it:
- Go back to the event that is blocking and change its reservation to only the specific areas it needs, rather than exclusive use.
Quick Troubleshooting Steps
- Look at your calendar for the date in question — is there an existing event or date on hold?
- If yes, check whether that event is set to exclusive use or is reserving the areas you need.
- Modify the blocking event's reservation to release the required areas.
- Try a hard refresh of your browser (Ctrl+Shift+R or Cmd+Shift+R) to rule out any browser caching issues.
- If the event is in the past, note that it will be locked after midnight on its date and reservations can no longer be changed.
