How to Remove or Manage Terms and Conditions (T&Cs) Documents
Removing a Pending T&C Document
You can remove a Terms and Conditions document as long as it is still in pending status (i.e., it has not yet been accepted by the customer).
- Navigate to the T&Cs section of the event.
- Open the contract you wish to remove.
- Go to Actions > Remove.
Note: You must have the appropriate staff permissions to remove a T&C document.
Can I Delete an Accepted T&C Document?
No, an accepted contract cannot be deleted. If the terms need to be updated, you have two options:
- Add an addendum to the existing contract.
- Create a new contract — it is recommended to include wording such as "this supersedes any previously agreed contract" to clarify that the new terms take precedence.
Can I Have Multiple T&C Documents on an Event?
Yes, you can have multiple T&C documents on a single event. Adding a new contract does not void or remove existing ones — they will all be listed in the T&Cs section. If you want a new contract to replace an older one, include language in the new document stating that it supersedes any previously agreed contracts.
Skipping T&C Acceptance for an Event
If you need to confirm an event without requiring the customer to accept terms and conditions:
- Pre-confirm the event as normal.
- At the T&Cs step, type in a few placeholder words instead of using a full template.
- Once the event is pre-confirmed, go to the T&Cs section of the event.
- Delete the placeholder contract.
This way, there will be no pending terms for the customer to accept.
Accepting Pending T&Cs on Behalf of a Customer
If a customer is unable to accept a pending T&C (e.g., due to a duplicate customer record or login issue), a staff user can mark it as accepted:
- Go to the T&Cs section of the event.
- Click the Actions menu.
- Select ✔ Accept Pending.
A confirmation message will appear. Click OK to accept. The status will change from pending to accepted, noting the staff member who confirmed it.
