The Calendar: How to use filters to see more or less on your Calendar

The Sonas calendar is a shared tool amongst all venues and users associated with your Sonas account. Therefore it is important to employ the use of filters to better manage your calendar to the items of importance to you. Here is a look at the various calendar filters available. 


NOTE: When you find a filter combination that you prefer, you can save those filter selections as your default calendar view, Actions > Save current filters. These can be updated at anytime.


Troubleshooting: Calendar appears empty? If your calendar is not showing any items, stored filters may be the cause. To fix this Restore Default Filters. This will clear any saved filter selections and restore the calendar to its default view. If the issue persists, try a hard refresh of your browser. See the full troubleshooting checklist below.


The calendar is opened by clicking on Calendar in the left hand menu. CalendarOverview.



Calendar Filters:



The first filter is Venue. This defaults to All selected. You can select only one or more Venues to see. You choose which venues you want included on your calendar.  



 


Display Mode allows you to select between Scheduled appointments and Available appointments. It defaults to Scheduled. Scheduled appointments are those that have been booked. Available appointments are slots that have been defined as available under Calendar availability, but are not booked yet. See Defining Availability



Only Show allows you to choose which type of calendar events you want to see.  It defaults to All Selected. These are the same types you choose from when you create calendar entries. Scroll down to see Ceremony.



Assigned Staff (Appointments) allows you to see the calendar entries assigned to a particular user. It defaults to Any. This applies only to the calendar events (appointments) where a staff member can be assigned, such as viewings, meetings, item delivery, etc. It will not apply to events where there is no staff member assigned, such as events and ceremonies. In most instances you will have this filtered to yourself so you can see your appointments and manage your schedule.



Event Statuses allows you to choose which event status entries you want to see. Be it removing Completed to clean up your view or only Date on Hold. You can choose all, a few, or non to remove all events from view. It defaults to All selected. Pro-tip: Deselect All and select only what you want to see. 



Custom Calendars allow you to select if custom calendars are shown or not. A custom calendar public holidays you have selected to show. See: Adding Public Holidays  It defaults to Hide, so the custom calendar entires are not shown.



Teleport To allows you to jump to the year and month of your choice, so you can easily jump ahead.



Troubleshooting: Can't see events on the calendar?


If you've created a calendar event but can't see it on the calendar, check the following:


  1. Check your filters – Your filters may be set to exclude the event type or status you're looking for. Review each filter (Venue, Only Show, Event Statuses) and make sure the relevant options are selected. For example, if Internal Meetings are not visible, check the Only Show filter and ensure "Internal Meeting" is selected.
  2. Restore default filters – If your calendar appears completely empty across all months and years, saved filters may be the cause. Restore Default Filters to clear all filter selections and restore the calendar to its default view.
  3. Try a hard refresh – If events are missing or the calendar is not loading correctly, perform a hard refresh of your browser. See Troubleshooting: How to Hard Refresh.
  4. Try a different calendar view – If one view (e.g. weekly) is not displaying events, try switching to monthly or daily view. You can save your preferred working view as your default via Actions > Save current filters.
  5. Events may be collapsed – If a day has multiple events, they may appear collapsed (e.g. "+3"). Click on the day to expand and see all events.
  6. Switch to Extended Mode – Change your calendar view to extended mode to see more events displayed per day without needing to click to expand. Note: Extended mode is not currently a saved configuration — you will need to enable it each time.
  7. Hide cancelled events – If cancelled events are showing on your calendar, use the Event Statuses filter to deselect "Cancelled" so they no longer appear.
  8. Check your browser – Ensure you are using an up-to-date version of Chrome. If issues persist after a hard refresh, try clearing your browser cache or reinstalling Chrome. If the problem continues, contact support with a screenshot (including the URL) and your Chrome version number.


"All Day" toggle and multi-day events


When creating a calendar entry that spans multiple days, make sure the All Day toggle is turned off. If "All Day" is enabled, the event will default to a single-day display regardless of the start and end dates. Turn off "All Day" so the event follows the specific dates and times you've set.


Note: When "All Day" is off and start times are set, the start time (e.g. "10") may appear in front of the event name on the calendar — this is expected behaviour.
