How to set up and use staff duties
Staff duties are the roles you use to assign event team members, such as Duty Manager or Setup Person. You set them up once for your company, then choose a person for each duty when creating an enquiry or event, or later in its Staff section. This article will walk you through how to configure your duties, assign staff, and see who has been assigned.
How to configure staff duties
First, you need to configure what staff duties you want to have/use for your events.
- Navigate to Company > Categories > Staff Duties.
- Click New Tag to add a duty, type the name, and save.

- To rename a duty, click the pencil beside it and update the name.
- To stop offering a duty, use the category's visibility controls to hide it. To find hidden duties, filter by Hidden. You can restore a hidden duty from here at any time.
Default duties
Your company starts with the following duties:
- Duty Manager, Event Manager and Setup Person are editable, so you can rename, hide or delete them.
- Sales Lead and Event Owner are system duties. These cannot be renamed or deleted. (they will be used in furture functionality)
Things to know about duties
- Duties are shared across your whole company. They are not configured separately for each venue.
- Duties appear in alphabetical order when assigning staff. It is not currently possible to reorder or merge duties.
- If you delete a duty that has already been used on an event, Sonas hides it rather than removing it, so existing assignments are preserved. A duty that has never been used on an event is deleted permanently.
- A hidden duty that is already assigned to an event will still appear on that event and its function sheet.
How to assign and change staff
- Navigate to Event > Staff
- Update and hit Save

Where to see assigned staff
Function sheet: assigned staff are listed on the event's function sheet, using your company's current duty names.
Any duty without an assigned user is left off both of these displays.
What about the DJ?
The DJ is no longer a staff duty. Where the DJ field is used prior to this release, it remains a free-text field under Event > General , rather than a user assignment in Staff. Any existing DJ names will still appear on the overview and function sheet. Please note that the DJ field on Event > General will be retired soon. It is recommended that you manage DJs under Services or Suppliers.
