How to make modifications to your Confirmed Event

When you have a confirmed event and some important information changes, you can edit the information in Sonas. Confirmed event information covered in this article includes: event date and area, food package, drink package, event type, and main customer.


All of an event’s general information is found in the event submenu, General. Event > General. To make changes to key reservation components, click Actions in the upper right hand corner. This provides you with your options of items that can be edited with a few steps. Choose the item you need to change.



For Drinks, Food, and Event type, you are directed to a drop down menu to select the new selection. Be sure to click Save! You can then return to the previous step section by clicking Actions. You can change the Food or Drink package selected, or choose no package. For event type, it is the event type options as defined in the Venue configuration. 


Changing the Reservation is how you can edit the day(s) of an event or the areas associated with the event reservation. This will walk you through the same scheduling wizard that is used when you first put the date on hold for the event. See Date on Hold for assistance with the scheduling wizard. 


The Main Customer is managed in the People Section of the event submenu, Event > People. When you click on Change Main Customer in the General section, you will be redirected to the People Section to make the necessary changes. Alternatively, you can go directly to the People section to make changes. Please see Guide to the People Section for detailed guidance.


Handling a Postponed Event (Date TBD)


If a client needs to postpone their event but hasn't decided on a new date yet, there are two approaches:


  1. Keep charges and payment plans active: Use Change Reservation to set the event date to a distant placeholder year (e.g., 2099). This preserves all existing charges and payment plans while you wait for the client to confirm their new date.


  1. Cancel and restore the event: If you want to clear all existing charges and payment plans, cancel the event and then use the Restore action (available on cancelled events). This moves the event back to Confirmed-Pending status. Note the following:
  • The event will retain its original date but in Confirmed-Pending status, meaning you will need to confirm it again once a new date is set.
  • The client retains portal access.
  • While in Confirmed-Pending status, the date remains blocked for other events.
  • To unblock the date for other bookings, you can move the event to Enquiry status (found in the same action menu as Restore), or you can manually double-book another event on that date if needed.


Important: Use Change Reservation Instead of Deleting


You do not need to delete an event to change its dates. Use Actions > Change Reservation to modify the dates or areas of an existing event. Deleting and recreating an event is unnecessary and may result in loss of associated data.
