How to Configure Appointment Types

Sonas now allows you to create your own appointment types, giving you the flexibility to name and configure appointments to match how your venue operates.

Before you begin

You will need Company-level permissions to access Appointment Config.


Step-by-step guide

  1. Navigate to Company in the main side menu and scroll down to Appointment Config.
  2. Here you will see the three default appointment types: ShowRound, Item Delivery, and Meeting.
  3. Each appointment type now has a label that you can rename to reflect your venue's terminology. For example, if your venue uses the term "Viewing" or "Venue Tour" instead of ShowRound, simply update the label and click Save.
  4. In addition to the three default types, you can now create up to three custom appointment types. To do so:
    • Enter a name for the appointment type.
    • Toggle it to enabled.
    • Click Save.
  1. Examples of how venues are using custom appointment types:
    • Viewing 1 / Viewing 2 for staggered viewing appointments.
    • Open House / Open Day with appointments every 20 minutes to manage arrival times and control traffic flow.
    • Planning Meeting, Six-Month Meeting, or Final Planning Meeting for events team workflow.
    • Virtual Meeting for remote appointments.


Where custom appointment types appear

Once created and enabled, your custom appointment types will appear throughout Sonas wherever appointments are used:

  • In Calendar Availability, when setting up new availability slots.
  • In the Calendar filter, so you can view appointments by type.
  • When creating a manual appointment for a customer, the custom types will appear in the dropdown list.


Please note

At the time of writing (version 4.58.2), only the default Show Around and Meeting appointment types are available within Reports. Custom appointment types will be added to reporting functionality in a future update. If you rely on Show Around conversion rates or appointment counts in your reports, please be aware of this current limitation.


Things to consider

Think carefully about which custom appointment types your organisation needs. Ensure that both your sales team and events team have the appointment types that support their workflows, and make the most of the three additional slots available.
